OFFICE RECEPTIONIST AND ADMINISTRATOR

The Office Receptionist & Administrator serves as the first point of contact for Church For The ONE while ensuring the day-to-day operations of the church office run efficiently. This role provides exceptional hospitality to guests, supports ministries through administrative services, manages office systems and vendors, oversees office resources and inventory, and assists with organizational processes that help staff and ministries operate effectively.

The Office Receptionist & Administrator serves as the first point of contact for Church For The ONE while ensuring the day-to-day operations of the church office run efficiently. This role provides exceptional hospitality to guests, supports ministries through administrative services, manages office systems and vendors, oversees office resources and inventory, and assists with organizational processes that help staff and ministries operate effectively.

KEY RESPONSIBILITES

Office Administration​

​

  • Serve as the primary receptionist by answering incoming calls, greeting guests, and directing inquiries appropriately. 

  • Maintain an organized, welcoming, and functional office environment. 

  • Order and maintain inventory of office supplies, paper products, coffee station supplies, postage, and other office necessities. 

  • Coordinate nameplate, business card, and office supply orders. 

  • Process invoices and submit check requests to the Executive Administrator or Finance Department. 

  • Manage the Office Supplies, Paper, and Postage budgets with accuracy and stewardship. 

  • Coordinate office equipment repairs and preventative maintenance. 

  • Provide basic support and training for office equipment as needed. 

AREA-SPECIFIC RESPONSIBILITIES

Vendor and Equipment Management

  • Serve as the primary liaison for office vendors including: 

  • Boring Business Systems (printing services) 

  • GoTo Phone System 

  • Coordinate outside printing projects and communicate completed jobs for invoicing. 

  • Perform routine maintenance and troubleshooting for office printers throughout all campuses and ministry locations. 

  • Monitor office equipment and coordinate repairs when necessary. 

Printing and Ministry Support​

  • Coordinate and fulfill printing requests for all ministries, including: 

    • Weekend handouts 

    • Ministry resources 

    • Academy materials 

    • Sports ministry resources 

    • Church events and special projects 

  • Print, cut, and prepare ministry materials as requested. 

  • Coordinate volunteer support for assembling printed materials when needed. 

Background Checks and Organizational Support​

​

  • Process all organizational background checks through Checkr, including: 

    • Ministry volunteers 

    • Sports volunteers 

    • Staff applicants 

    • Other approved ministry areas 

  • Maintain accurate records and ensure compliance with church policies. 

Counseling and Ministry Reception

​

  • Serve as the administrative point of contact for the Counseling Center by: 

    • Receiving intake calls 

    • Scheduling counseling appointments 

    • Assisting clients with general questions 

    • Communicating with counseling staff as needed 

  • Serve as the reception contact for Sports For The ONE by: 

    • Answering participant and parent questions 

    • Assisting with registration inquiries 

    • Communicating practice and event information 

Administrative Coordination

​

  • Complete monthly Nazarene reporting requirements. 

  • Update church phone voicemail recordings for special events and Big Sundays. 

  • Maintain and communicate the Pastor On Call schedule. 

  • Compile and report designated organizational dashboard metrics. 

  • Prepare and mail First-Time Giver letters. 

  • Maintain inventory of: 

    • First-Time Giver cards 

    • Vision Builder commitment cards 

    • Vision Builder coins 

  • Assist with onboarding and offboarding administrative processes for employees. 

Financial Stewardship

  • Manage office-related purchasing within approved budgets. 

  • Track expenses for office operations. 

  • Submit invoices and purchasing documentation accurately and on time. 

  • Maintain responsible stewardship of church resources.

PROFESSIONAL QUALIFICATIONS

Required

​

  • Deeply committed follower of Jesus Christ with a lifestyle consistent with the mission of Church For The ONE 

  • Previous administrative or office management experience 

  • Proficiency with Microsoft Office and Google Workspace 

  • Experience with Planning Center preferred 

  • Comfortable learning new software platforms and office technology 

  • Experience working in a church or nonprofit environment preferred
